Vibe Cabinetry and Design Co. is a full-service residential interior design and renovation planning firm serving the Raleigh-Durham area. We create thoughtful, highly personalized spaces while guiding our clients through every stage of design and implementation.
We are seeking a highly organized, proactive Design Project Coordinator to join our growing team. This is a full-time, early-career position focused on procurement, sourcing, project coordination, and installation support, with opportunities to assist with design development and client presentations.
This is not solely a creative design role. The right person will genuinely enjoy managing details, maintaining schedules, communicating with clients and vendors, and ensuring that projects move successfully from design approval through installation.
Primary Responsibilities
Procurement and Sourcing
Source furniture, lighting, plumbing, tile, cabinetry, hardware, accessories, and other materials based on an established design direction
Request and organize pricing, samples, specifications, freight estimates, and lead times
Prepare product selections, schedules, and procurement documentation
Place and track approved orders from purchase through delivery
Review order confirmations for accurate quantities, dimensions, finishes, pricing, and shipping information
Monitor backorders, damages, returns, replacements, and vendor claims
Maintain accurate records of selections, quotes, invoices, approvals, and order status
Identify availability, compatibility, or installation concerns before products are purchased
Project and Installation Coordination
Maintain project schedules, task lists, procurement trackers, and installation timelines
Coordinate with clients, vendors, trade partners, delivery teams, workrooms, and installers
Follow up consistently on outstanding quotes, orders, samples, approvals, and project dependencies
Communicate delays, schedule changes, and outstanding decisions clearly and promptly
Prepare meeting agendas and document decisions, action items, and site conditions
Confirm product and jobsite readiness before deliveries and installations
Prepare placement information, installation documents, and project checklists
Assist onsite during installations and styling days
Track damages, missing items, deficiencies, and punch-list work through resolution
Client, Vendor, and Design Support
Provide professional client updates regarding product status, scheduling, deliveries, and installation
Document client questions, decisions, and approvals
Build positive working relationships with vendors, showrooms, installers, and trade partners
Assist with product sourcing, finish selections, and design documentation
Create and update client-facing presentations in Canva
Organize samples, specifications, and presentation materials
Assist with field measurements and project documentation
Required Qualifications
Approximately one to two years of relevant professional, internship, procurement, purchasing, or project-coordination experience preferred
Exceptional organizational and project-management skills
Strong attention to detail and a commitment to reviewing work for accuracy
Excellent written and verbal communication skills
Ability to manage multiple projects, deadlines, and competing priorities
Proficiency in Canva
Experience using Notion, Asana, Monday.com, ClickUp, or a similar project-management platform
Proficiency with Google Workspace
Comfort working with spreadsheets, schedules, specifications, budgets, and detailed documentation
Ability to take ownership of assignments and follow them through to completion
Reliable transportation and a valid driver’s license
Preferred Qualifications
Degree, certificate, or coursework in interior design, architecture, construction management, project management, business administration, or a related field
Experience with a residential design, cabinetry, construction, showroom, or home furnishings company
Familiarity with residential renovation terminology and the ability to read floor plans and elevations
Experience with purchase orders, freight coordination, receiving, product claims, or installations
Experience with SketchUp, 2020 Design, or similar design software is a plus, but not required

Position Details
Full-time, early-career position
Primarily in person in Raleigh, North Carolina
Regular local travel to jobsites, showrooms, and installations
Occasional early mornings or extended installation days
Salary range of $50,000–$55,000, based on relevant experience
Two weeks of paid time off
Paid company holidays
Mileage reimbursement for approved business travel
